Privacy policy

Last updated 8 November 2026

This policy explains what information KidVille collects when you register your interest in one of our planned nurseries through this website, what we do with it, and the choices you have. In short: we only use your details to tell you about the nursery you're interested in, we never sell them, and you can ask us to delete them at any time.

1.Who we are

This website is run by [Registered company name: to be confirmed], trading as KidVille (“KidVille”, “we”, “us”). We are the data controller for the personal information described in this policy, which means we decide how and why it is used.

2.What we collect

Information you give us

When you register your interest, we ask for:

  • whether you are looking for a nursery place now, in the future, or not at the moment;
  • your child's age group (under 2, 2 years old, or 3–4 years old);
  • when you would need a place;
  • whether you believe you are eligible for local council childcare funding;
  • your name, email address and phone number;
  • whether you would like us to contact you about paying a deposit to secure a place.

We do not ask for your child's name, date of birth or any health information, and we ask you not to include sensitive information when you contact us.

Information collected automatically

  • Which steps of the form were viewed and answered. This is recorded anonymously, without your name or contact details and without storing anything on your device, so we can see where people stop and improve the form.
  • How you found us. If you arrive from one of our adverts, the web address can contain campaign labels (such as the ad or campaign name). We store these with your registration so we know which adverts work.
  • Device information. Your browser type and version (the “user agent”) is stored with your registration. Your IP address is used by our hosting provider to deliver the website and keep it secure; we do not store it with your registration.
  • Advertising identifiers, only if you accept cookies. A Meta click identifier and Meta browser cookies (see section 4).

3.How we use it, and why

Data protection law requires us to have a lawful basis for each way we use your information:

What we doLawful basis
Record your interest and send you a confirmation emailSteps taken at your request before any contract (UK GDPR Art. 6(1)(b))
Contact you about the nursery, including a call about a deposit if you asked for oneSteps taken at your request before any contract; and our legitimate interests in following up enquiries
Understand demand in an area (for example, how many families need places and when) to decide whether and how to open a nurseryOur legitimate interests (Art. 6(1)(f)). We use answers in combined, summary form wherever possible
Measure which adverts bring families to us, using Meta cookies and Meta's Conversions APIYour consent (Art. 6(1)(a)), which you can withdraw at any time
Keep the website secure, prevent spam and fix errorsOur legitimate interests in running a safe, working website

We will not send you unrelated marketing, and we will not use your information for automated decisions that have a legal or similarly significant effect on you.

4.Cookies and tracking

When you first visit, we ask whether you're happy for us to use cookies to measure our adverts. Nothing for advertising is set until you choose “Accept”, and you can change your mind at any time using Cookie settings at the bottom of the page.

CookiePurposeTypeLasts
kv_consentRemembers your cookie choice so we don't ask againStrictly necessary180 days
kv_lead_[area]Set only when you register. Remembers that you've done so, so you see your confirmation if you come back. It holds a random reference number, not your details.Functional180 days

_fbcRecords that you arrived by clicking a Meta advertAdvertising (consent)90 days

If you accept, the Meta Pixel also loads on the page and Meta may set its own cookies, as described in Meta's cookie policy. When you register, we also send Meta a scrambled (hashed) version of your email address, phone number and name, together with your browser details, so Meta can match the registration to an advert. Meta acts as a joint controller for this measurement; see Meta's privacy policy. If you choose “No thanks”, none of this happens.

5.Who we share it with

We never sell your information. We share it only with the service providers who help us run this website, under contracts that require them to protect it and use it only on our instructions:

  • Vercel: hosts the website.
  • Neon: stores registrations in a secure database.
  • SMTP2GO: sends your confirmation email and notifies our team of new registrations.
  • Sentry: tells us when something on the website breaks. It is set up not to collect your name, contact details or form answers.
  • Meta Platforms: advertising measurement, only if you accept cookies (see section 4).

We may also share information if the law requires it, or with professional advisers or a buyer of our business, in which case your information would remain protected by this policy.

6.International transfers

Some of our providers store or process information outside the UK, for example in the European Economic Area or the United States. Where that happens, the transfer is protected by UK adequacy regulations or by approved safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

7.How long we keep it

  • Your registration: up to 24 months from when you register, or until you ask us to delete it, whichever is sooner. If you go on to take up a place, our parent privacy notice will apply instead.
  • Anonymous form statistics: up to 24 months.
  • Error reports: up to 90 days.
  • Cookies: as listed in section 4, or until you clear them in your browser.

8.Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use it, or object to us using it on the basis of legitimate interests;
  • ask for your information in a portable format;
  • withdraw your consent to advertising cookies at any time, using Cookie settings.

To use any of these rights, email privacy@kidville.co.uk. We will respond within one month and won't charge you.

If you're unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

9.Children

This website is for parents and carers. We ask only for your child's age group, never their name or other details. Please don't register if you are under 18.

10.Keeping it safe

Information is encrypted in transit (HTTPS) and stored with providers who use industry-standard security. Access to registrations is limited to the KidVille staff who need it and is protected by a password. No system is perfectly secure, but if a breach affected your information in a way that put you at risk, we would tell you and the ICO as the law requires.

11.Changes to this policy

We may update this policy, for example if we change how the website works. The date at the top shows when it last changed. If we make a significant change that affects you, we'll let you know by email.
